Athletics and Community Experience Program Coordinator - High School

Job Purpose:  

This position consists of 50% teaching and 50% coordination.
This position consists of part-time teaching and administrative responsibilities. The Sports and Community Activities Coordinator provides guidance and leads the school’s sports and community activities programs, ensuring their smooth operation.

Reports to: Principal of English School
Status: Full time / Permanent
Start Date: As soon as possible

Specific responsibilities include: 

  1. Athletics Coordinator

    1. Expand participation in co-curricular athletic activities.
    2. Represent the school at QAIS, GMAA and JISA events and meetings.
    3. Ensure paperwork is properly completed and sent to sports organizations in a timely manner.
    4. Hire coaching staff.
    5. Provide coaching staff with proper training, development and feedback.
    6. Work with other schools and coaches to coordinate schedules. 
    7. Schedule practice times and use of the gym facilities.
    8. Organize transportation to and from sporting events.
    9. Maintain contact with parents regarding schedules, transportation, etc.
    10. Ensure the safety of all student-athletes.
    11. Ensure payment of athletics fees and collection of registration forms.
    12. Meet regularly with the administrative team.
    13. Promote sports and provide timely information to the public relations coordinator.
    14. Ensure student-athletes maintain proper academic standings.
    15. Maintain and update team records.
    16. Maintain and update athletics website.
    17. Manage athletic equipment and ensure the safety, cleanliness and upkeep of athletic facilities. 

    Community Experience Coordinator

    1. Keep the community experience program up to date and relevant.
    2. Post new community service opportunities and update community service bulletin boards as well as community service website.
    3. Communicate with parents when necessary.
    4. Communicate with various community outreach programs and organizations.
    5. Evaluate students and provide appropriate feedback.

Qualifications: 

  • Bachelor’s degree in a relevant field;
  • Have a minimum of five years of similar experience; 
  • Be fluently bilingual (French/ English) (asset); 
  • Strong organizational skills; 
  • Excellent oral and written communication skills; 
  • Natural leadership skills with a high level of initiative, energy and commitment.

Secretary - Elementary School

Reports to: Director of students 
Status: Full time / Permanent 
Start Date: August 2021 (as soon as possible)

Job Purpose: 

Under the direction of the Director of Students, performs a variety of clerical and support work involving both specific routines and broadly defined policies and procedures; greets and interacts with the public, works cooperatively with staff, students, and parents, and performs other related duties as assigned.

Specific responsibilities include:

  • Answering phone calls and forwarding messages.
  • Greeting students and visitors at reception and helping them when necessary.
  • Typing and/or creating letters, emails, reports and any other pertinent documents.
  • Assigning substitution when required and submitting hours to the payroll department on a weekly basis.
  • Scheduling team meetings when necessary.
  • Managing incoming and outgoing posts and emails.
  • Printing, photocopying
  • Keeping records of orders and P.O.s; following up when necessary.
  • Keeping a log of students’ health issues and allergies.
  • Keeping and updating emergency medication and epipens in office
  • Keeping the administrators informed of any situation requiring their involvement. 
  • Assisting during fire and lockdown drills.

 

Skills & Abilities:

  • Professional telephone manners.
  • Organized and methodical approach to work.
  • Computer skills including use of word processing, spreadsheet, presentation software, Google Drive. 
  • Ability to work under pressure and prioritize tasks.
  • Confidence in handling cash and working with figures.
  • Ability to work well with pupils, teachers and parents/guardians.
  • Respect for confidential information.
  • Patient and flexible attitude.
  • Ability to work as part of a team and also on your own initiative.

 

Qualifications:

  • Must hold a secretarial diploma of vocational studies or, hold a secondary V diploma and/or have at least two (2) years of pertinent experience.
  • Ability to communicate effectively and help others.
  • Ability to work under pressure and multi-task.
  • Excellent English and French language skills, both oral and written; knowledge of Hebrew is an asset.
  • Excellent knowledge of the use of computers (Word, Excel presentation software, google drive).
  • Must be able to work well in a team-oriented office atmosphere.
